Executive Administrative Assistant to Advancement
JOB SUMMARY:
The Administrative Assistant aids in the day-to-day operations of the Office of University Advancement. This role supports the university's fundraising efforts by providing administrative support across various functions, including donor interactions, filing, and data entry, in accordance with university policies and procedures. The Executive Administrative Assistant is accountable to the Vice President of University Advancement.
ESSENTIAL FUNCTIONS:
1. At times, the candidate will have in-person and phone interactions with HCU donors or potential donors, requiring a professional demeanor.
2. Ensure thank-you letters are processed for all donations received within one business day of donation
3. Ensure that all donor records are accurately maintained and safeguarded in the donor management system (Blackbaud)
4. Prepare and distribute monthly fundraising reports
5. Provide approved printing services for other university departments, as needed
6. Order and maintain all supplies and business cards for University Advancement
7. Maintain departmental calendar
8. Set up meetings, as requested
9. Schedule visits and travel for the department
10. Assist the Vice President of University Advancement and the Director of Church Relations with ad hoc requests
11. Although seldom, the candidate will be required to work beyond normal business hours for some on-campus activities at the request of the Vice President of Advancement.
EDUCATION, SKILLS, AND EXPERIENCE:
1. Bachelor’s degree preferred; high school diploma required
2. Prior administrative experience
3. Excellent communication skills, both written and oral
4. Proficient in Microsoft Office suite, especially Excel and PowerPoint
5. Strong organizational skills
